Importing your spreadsheet
Bring in the rota you keep now (.xlsx or .csv); you check Ochiplan’s answers first.
- Go to setup step 4 (People) or Settings → Import and export, and choose “Import your spreadsheet”.
- Upload the file and choose the year for dates written without one, then “Read it”.
- Sheets: tick the ones that are rotas. Summary tabs start unticked.
- Who each name is: someone already in Ochiplan, someone new (with a role and home site), or “not a person” for totals and notes columns.
- What the cells say: each different thing is listed once with Ochiplan’s guess, the unsure ones first. A site’s name or short name is a clinic there; “am” and “pm” mean mornings and afternoons; “/” separates two things in one cell.
- “Preview the import” shows what will come in and lists anything that won’t. Then “Import”.
Good to know
- Ochiplan reads a row per day with names along the top, a row per person with days across, or a list of bookings.
- Importing again replaces only what an earlier import brought in on the same days, and keeps anything added by hand.
- Your answers are remembered for the next import.
- Starting fresh? Download the CSV template from the import page: a row per booking with Date, Person, What, Site and Part.
